Catering Admin & Venue Liaison

From tastings and proposals to final event execution, you’ll be the go-to person for clear communication, timely follow-up, and ensuring nothing slips through the cracks. PLEASE NOTE: This position is officially employed by LaRue Culinary, the exclusive catering partner endorsed at our venues. While the Catering Admin & Venue Liaison will work closely with staff from both Chateau Nouvelle and Sandlewood Manor, we are assisting LaRue Culinary in the hiring process for this role.

KEY RESPONSIBILITIES:
Tastings:

Conduct tastings with clients to help them select the best menu options

Accurately record client selections and preferences

Create customized proposals based on client’s chosen menu items
Proposal Management:

Create, update, and maintain detailed client proposals.

Assign account executives to clients and ensure proper follow-through.

Supervise adherence to proposal and employee accountability standards.

Streamline and update the proposal process using CRM software.

Collect payments from clients and ensure timely processing.
Client Management & Communication:

Respond promptly to clients via email, phone, and text to ensure a high level of customer service.

Provide timely and accurate internal responses through email, phone, and text to keep all parties informed.

Ensure seamless communication between the kitchen, account executives, and other departments.
Venue Communication:

Gather and distribute essential event details between the catering team and event venues.

Act as the primary point of contact for both the venue and catering teams, ensuring smooth event coordination.

QUALIFICATIONS:

Great verbal and written skills

Previous experience in catering, event planning, or administration preferred

Excellent organizational and communication skills

Ability to manage multiple projects and deadlines effectively

Strong attention to detail and problem-solving skills

Proficiency in software like Event Temple or similar event management platforms is a plus

Ability to work independently and as part of a team
